Receptionist/Ministry Assistant

BASIC FUNCTION:

To greet all volunteers, visitors, and vendors efficiently and courteously. Notify staff of visitor arrival; monitor security system cameras. And provide administrative assistance and support to the director of State Royal Ambassadors.

Professional and Spiritual Expectations

1. Maintain an active, personal walk with Jesus Christ.

2. Sustain active membership in an evangelical, like-minded church throughout employment.

 

Reception and Visitor Services

3. Maintain the reception area in a neat, professional, and welcoming manner.

4. Serve as the greeter for the TXM building, cheerfully welcoming and assisting all visitors.

5. Direct visitors, volunteers, donors, and vendors to their destinations promptly and efficiently.

6. Answer calls on the main lines and ensure timely responses for calls that go to voicemail.

7. Ensure that the desk is staffed when absent.

 

Administrative and Clerical Duties

8. Process donations over the phone with accuracy and professionalism.

9. Place daily lunch orders promptly, ensuring cost-consciousness.

10. Train in database software to manage data entry, updates, reports, and address changes.

11. Ensuring that guests and volunteers sign in on the IPad upon arrival. Log and track volunteer hours using the Envoy software; provide monthly reports to the Chief Executive Officer.

12. Assist with donor correspondence, including printing, folding, stuffing, and mailing letters.

13. Support ministry areas with clerical tasks, including events, mail-outs, and special projects.

 

Office and Equipment Management

14. Operate and maintain office equipment, coordinating repairs and supply orders as needed.

15. Monitor and replenish office and breakroom supplies, ensuring the workroom and coffee area are well-stocked and organized.

16. Collect and submit monthly printer usage reports to the accounting department.

 

Facilities and Compliance

17. Report illegal parking and code violations daily to Mesquite and Dallas authorities via 311 at the earliest opportunity.

 

Mail and Shipping

18. Manage outgoing and incoming mail, including metered mail, UPS, and FedEx, and retrieve weekend and overnight deliveries from the outside mail receptacle.

19. Prepare address labels, postage, and envelope stuffing as needed.

 

General Support

20. Attend necessary meetings and training events.

21. Provide clerical and administrative assistance to executive staff and ministry areas upon request.

22. Perform other duties as assigned to support the organization’s mission.

 

POSITION REQUIREMENTS, KNOWLEDGE, SKILLS AND ABILITIES:

Note: These requirements represent minimum levels to perform the job satisfactorily. Candidates must be able to perform the job's essential functions satisfactorily.

1. Requires an in-depth understanding of Christian ministry and business office procedures in general.

2. Requires working knowledge of church structure and mission work.

3. Requires active membership in a Southern Baptist or like-minded church during employment.

4. Requires proficient ability to exhibit detail-oriented skills necessary to understand and manage a wide range of information from many entities. Ability to multi-task.

5. Requires proficient ability to speak, read, and write English and Spanish were applicable.

6. Ability to use up to 20 pounds of force occasionally.

7. Requires ability to grasp, push, pull, carry, or otherwise manipulate objects; ability to perform tasks requiring action of muscles or groups of muscles and foot and/or hand-eye coordination.

8. Requires walking, standing, and sitting, sometimes for prolonged periods.

9. Requires the ability to speak clearly and be self-understood in face-to-face interactions; it also requires the ability to articulate accurately on the telephone.

10. Requires hearing and receiving verbal instructions, answering phones, and proficiently communicating in situations with some background noise.
